Terms and Conditions

This Agreement sets forth the legally binding Terms and Conditions for your use of the Site at http://www.congressbidding.com operated by Albatros KTS - CongressBiddingWorldWide d.o.o., Cankarjeva 10, SI-1000 Ljubljana.

By accessing or using the Site in any manner, including, but not limited to, visiting or browsing the Site, or contributing content or other materials to the Site, you agree to be bound by these Terms and Conditions. Capitalised terms are defined in this Agreement.

ANY PARTICIPATION IN OUR SITES, IN PARTICULAR, THE USE OF OUR SERVICES, WILL CONSTITUTE ACCEPTANCE OF THIS AGREEMENT; IF YOU DO NOT AGREE TO ABIDE BY THE ABOVE, PLEASE DO NOT USE OUR SITES AND SERVICES.

Conditions of access to Services

The Services are accessible via the Internet through the URL mentioned above. The Services offered by the Albatros KTS- CongressBiddingWorldWide d.o.o. platform are accessible for registered users by using a password and username!!!. Passwords may not be made available to non-authorised third parties, nor may data provided by the Site be passed on to third parties. Albatros KTS-CongressBiddingWorldWide d.o.o. reserves the right to remove a user’s right to access the services provided by the Site if there is any evidence of misuse of the data or passwords, with no liability to compensate the member for loss of access. We recommend you restrict or inhibit any other user from using and enjoying our Services under your username.

Conditions of use of the Services

The Service of the platform is made available on an "as is" basis, without warranties of any kind, and the fee is non-refundable. Albatros KTS - CongressBiddingWorldWide d.o.o. offers no warranties regarding the availability, accuracy, sufficiency or suitability of the Service or the contents of any information accessed via the Service. The Subscriber has the sole responsibility for inspecting and verifying all Services and content to the Subscriber's satisfaction before using them. We cannot fully guarantee that the Website will operate without any error, or that it is free of computer viruses or other harmful effects. Albatros KTS – CongressBiddingWorldWide d.o.o. will not be responsible for any costs which could arise from servicing or replacing your equipment or data when using this Site. The Site contains materials provided by third parties and Albatros KTS - CongressBiddingWorldWide d.o.o. will not be held responsible for any such third party.

Registration and Payment Conditions

Users agree to supply true, correct, updated and full information of their identity and the identity of their organisations, together with all other information requested in the form.

a.) DEMANDERS (Customers)

Customers register via the “Register” form. When the login form appears, they must enter all the required information. Customers fully agree with the policy of the congressbidding.com portal. Bids are shown in a limited format, meaning that they include the following fields: continent, year, capacity. Bids are clearly marked as already bought (unlocked) or not (locked). By clicking on an unlocked bid, the customer opens the details of a bid. By clicking on a locked bid, a dialogue box appears, where the customer has to re-confirm his or her choice (the customer is informed that money will be debited from his or her CBWW account). After confirmation by the customer, the details of a bid open. If the customer does not have enough funds in his or her CBWW account to buy the bid, a message appears directing the customer to “My Account”. The bid in a limited format includes the following information:

  • Continent (a visible number of bids based on continent)
  • Year (a visible number of bids based on year)
  • Capacity (the number of participants)

In bid details, bids are shown in full format (available in return for a payment): ID, meeting, open year, frequency, congress period, duration, rotation by continent, deadline of submission, meeting rooms, meeting rooms details, expected nr. of participants, exhibition, exhibition details, history overview, info contact, members directory link, attachment, additional notes. When the payment is made, the following information is visible:

  • Congress title and year
  • Frequency
  • From-to month
  • Duration: from-to
  • Deadline
  • Continent
  • Capacity
  • No. of meeting rooms
  • Meeting rooms details
  • Expected numbers of participants
  • Exhibition details
  • History overview
  • Info contact
  • Members link (if added by the partner)
  • Attachment
  • Additional notes

We do not guarantee customers that they will 100% win the bid/congress/conference by using our service; we only enable easier access to calls to bid for congresses/conferences. We do not assume any responsibility for all further procedures in connection with international meeting acquisitions. All further activities in connection with international meeting acquisitions depend on the customers. WE DO NOT GUARANTEE BUSINESS!

If a certain customer is logging in from different IP addresses (e.g. more than 10 different addresses), we have the right to delete the customer from the system without any

If a customer breaks his or her partnership and has a certain amount of funds in his or her account, we will not refund it. The customer agrees to any changes to the profile of a certain customer made by the administrator. The customer agrees that we can use all his or her information for the purposes of operation of the portal and that they may be accessed by the administrator. The customer gives consent to use his or her data.

We do not refund any kind of deposits made to individual accounts.

The price of an individual bid is marked on the congressbidding.com website

Payments are made by PayPal. The customer can make his or her first purchase when PayPal receives confirmation of the payment or confirmation that the customer has a certain amount of funds in his or her account. We do not take responsibility for any errors made by PayPal. We do not refund any kind of deposits made to individual customer accounts. The reverse charge applies for all taxes.

The partner publishes all the necessary information for the bid. The administrator does not take any responsibility for the published information. The partner publishes useful information that can be accessed by the customers and the administrator.

When entering an individual bid, both the administrator and the partner must acknowledge their authorship; if a bid has already been entered in the congressbidding.com program (website domain checking) by the administrator, the administrator is recognised as the author. The administrator has the right to delete bids, both his own and those from the partner.

b.) TENDERS (Partners)

Partners register via the login form where they must enter all the necessary information. Partners agree with our policy in all cases. Partners fully agree with the policy of the congressbidding.com portal.

The partner publishes all the necessary information for the bid. The administrator does not take any responsibility for the published information. The partner publishes useful information that can be accessed by the customers and the administrator.
When publishing his or her bid, the partner publishes all the necessary and required information. The information offered to the customer by the partner must be accurate. The partner is responsible for any wrong or untrue information. The administrator does not take any responsibility for the information entered by the partner.
The form for entering the bid includes the following fields: congress title*, open year, frequency, congress period, duration, rotation by continent, deadline of submission*, meeting rooms, meeting rooms details, expected nr. of participants, exhibition details, history overview, info contact, members directory link, attachment, web site*, additional notes. Fields marked with an asterix (*) are required. The system automatically detects that the specific partner is the author of the bid. By clicking the “Save” button, validation is started, and the partner is notified if a field is left blank or if a bid of this kind already exists (website domain checking). Possible similar bids are shown to the partner and enable the partner to acknowledge his or her authorship.

When entering an individual bid, both the administrator and the partner must acknowledge their authorship. The administrator has the right to delete bids, both his own and from the partner. When entering an individual bid, the system automatically detects the author: administrator or partner. If a bid is already entered in the program (the website domain of the bid is being checked), both the partner and the administrator are informed (it depends on who is entering the bid). Authorship recognition is the basis for the price of the service: if a bid is entered by the administrator, the amount is 100% and the administrator is considered as the author; if the entry/authorship is made by the partner, he or she is entitled to 40% of the price. The form includes the following fields: bid ID, partner email, message. Validation takes place after confirmation. If it is successful, an email is sent to the administrator. Then the administrator and partner decide on the authorship with email correspondence. After that, the administrator deletes the questionable bid, and the partner enters his or her bid.

Payments to partners for the sold bids are made twice a year, on 30 June and 31 December. Congressbidding.com makes a sales report for an individual partner. Based on the received sales report, the partner issues an invoice for his or her sold bids to Congressbidding.com. The money is transferred and paid by Congressbidding.com within 8 days of receipt of the invoice from the partner. The reverse charge applies to all taxes.
The service should be referred to as “service congressbidding.com” on the invoice.
Information for issuing an invoice for partners:

  • Address
  • Postcode
  • City
  • Country
  • Email

Information for money transfer

  • Name of the bank
  • Bank account
  • VAT number (if any)
  • BIC Code
  • SWIFT Code

The service should be referred to as “service congressbidding.com” on the invoice (subject to change).

Intellectual Property

The Site and its original content, features and functionality are owned by Albatros CongressBiddingWorldWide d.o.o. and are protected by international copyright, trademark, patent, trade secret and other intellectual property or proprietary rights laws. If you believe that your intellectual property rights have been infringed upon, contact info@congressbidding.com.

Termination

We may terminate your access to the Site, without cause or notice, which may result in the forfeiture and deletion of all information associated with you.

Links to other Sites

Our Site may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit.
Albatros – KTS CongressBiddingWorldWide d.o.o. has no control over, and assumes no responsibility for, the content, privacy policies, or practices of any third party sites or services.

Governing Law

This Agreement and any further rules, (policies, or guidelines, as well as the contents of this Site, including but not limited to: text, logos, software, trademarks, graphics, service marks and other material) are protected by copyright, and shall be governed and construed in accordance with the laws of the EU and the Republic of Slovenia without giving effect to any principles of conflicts of law.

Changes to this Agreement

We reserve the right, at our sole discretion, to modify or replace these Terms and Conditions by posting the updated terms on the Site. Your continued use of the Site after any such changes constitutes your acceptance of the new Terms and Conditions. Please review this Agreement periodically for changes. If you do not agree to any of this Agreement or any changes to this Agreement, do not use, access or continue to access the Site, and discontinue any use of the Site immediately.
